Rology Voice Privacy, Terms & Responsible Use

This page applies when you visit www.rology.ai or use the Rology Voice website, browser extension, application, integrations, or related services (the Services). By creating an account or using the Services, you acknowledge this page and agree to these terms. A signed agreement with your healthcare organization takes priority if it conflicts with this summary.

Privacy and Data Use

Rology may process account and professional details; live dictation audio; transcripts, reports, templates, macros, pronunciation corrections, and preferences; authorized study metadata; technical and security logs; and support or subscription information. Rology generally acts as controller for website, account, business-contact, and security data, and as processor or service provider when handling patient or clinical data for a healthcare organization.

We use information to provide and secure Rology Voice, authenticate users, transcribe medical speech, support templates and voice tools, refine report language and structure, connect approved healthcare systems, provide support, monitor performance, prevent misuse, and meet contractual or legal duties. Live audio is processed transiently and is not retained after transcription unless recording is separately authorized for a defined purpose. Clinical content is retained according to the healthcare organization’s instructions, settings, agreement, and applicable law. Rology does not sell patient health information, use it for advertising, or use identifiable patient or customer clinical content to train general-purpose AI models.

Responsible AI and Clinical Responsibility

Rology Voice is an AI-assisted dictation and documentation tool, not an autonomous diagnostic system. Every transcript, template, normal-text completion, suggestion, warning, and report remains a draft until reviewed and approved by a qualified radiologist. The radiologist must verify patient and study details, anatomy, laterality, measurements, findings, impression, recommendations, and AI-assisted wording, and remains the final author and signatory responsible for the report.

Speech recognition and AI may produce incomplete, inaccurate, or ambiguous output. Performance can vary with accent, pronunciation, noise, microphone quality, connectivity, terminology, and case complexity. Warnings cannot identify every error, and the absence of a warning does not confirm accuracy. Unreviewed output must not be the sole basis for urgent, diagnostic, treatment, or other patient-care decisions.

Sharing, Security, and Rights

Information may be shared with the organization managing the account, its authorized users, approved healthcare integrations, and vetted providers supporting hosting, speech recognition, AI processing, identity, security, communications, support, analytics, or payments. Disclosure may also occur where required by law or necessary to protect rights, safety, or the Services. Rology applies safeguards such as encryption, role-based access, authentication, logging, monitoring, vulnerability management, incident response, backups, and business-continuity controls. International processing uses appropriate legal, contractual, localization, or transfer safeguards where required.

Depending on applicable law, individuals may request access, correction, deletion, restriction, portability, or objection; withdraw consent; or complain to a competent authority. For patient or clinical information, contact the responsible healthcare organization first. For website or account matters, use the contact channel at www.rology.ai.

Terms of Use

Rology Voice is intended for qualified radiologists and authorized healthcare personnel aged 18 or older. Users must protect credentials, use approved devices and networks, follow organizational policies, and report suspected unauthorized access. You must not submit data without authority, share credentials, bypass security controls, disrupt or probe the Services without permission, introduce malicious code, reverse engineer except where law expressly permits, or use the Services unlawfully or harmfully.

Users and healthcare organizations retain ownership of submitted content and grant Rology only the rights needed to host, process, secure, transmit, and support it. Rology retains ownership of its software, interfaces, models, workflows, documentation, and trademarks. The Services may be updated, interrupted, limited, or suspended for maintenance, security, legal, privacy, patient-safety, payment, or misuse concerns. To the maximum extent permitted by law, the Services are provided as is and as available, without a guarantee that every output will be complete or accurate. Signed customer terms govern warranties, liability, fees, cancellation, and disputes.
